Job Title: Project Coordinator, Distribution

Location: Shelbyville, Kentucky

This role coordinates the assembly and distribution for the carts within North America. This role will partner closely in support of the A&D manager as it relates to all assembly and distribution projects.

Key duties (agile)

  • Reconcile all A&D projects with planned Budget vs. Actual costs and provide a report to capture this information.
  • Recommend and participate in the development of policies, systems, standards, and procedures to improve distribution services and maintenance functions.
  • Ensure compliance with health, safety, and environmental policies and procedures to safeguard the well-being of staff and visitors.
  • Assists in developing bids for customers within the environmental segment market.
  • Coordinates internal resources such as staff, vendors, and sub-contractors as needed.
  • Initiate PO requests and follow up on approvals for disputes.
  • Assist in A&D project evaluation and sub-contractor performance.
  • Assist in developing project-related documentation including safety plans, hazard analysis, and A&D strategic plans.
  • Oversee incoming and outgoing project documentation.
  • Assist and report on non-compliant products, inventory management, and quality issues discovered in the field (and work internally to coordinate corrective action or replacements as required).
  • Act as Senior Maintenance Administrator for IPL’s Cart Maintenance Software, provide Bindel (IPL software) training to Sub-contractors and customers.
  • Work closely with Maintenance Subcontractors to ensure SLA levels are maintained and customer expectations are within the parameters and achieved.
  • Manage Maintenance Dashboards (Region of Peel as the benchmark) to safeguard IPL from potential LDs (Liquidated Damages) and assess daily performance.
  • Contribute to Maintenance Dashboard Development.
  • Coordinate meetings with cross-functional departments and support staff as required.
  • Monitor competitor and supplier programs, research and recommend new policies, vendors, and technology enhancements.
  • Participate in the development of new business policies, processes, and tools to create added value in the organization and ensure correct application.
  • Participate in the RFP/Bid response development.
  • Configure, load, test, and maintain project databases (A&D projects) and provide data for Billing and invoicing in a timely manner in accordance with the Project Schedule and Agreement guidelines.
  • Validate and investigate inventory discrepancies between Shipped/Received and Database Scans to ensure inventory is reconciled appropriately.
  • Manage distribution milestones and timelines, specific to each project or program.
  • Work closely with the logistics group to coordinate (project deliveries and unloading activities) related to A&D activities and environmental product offerings.
  • Analyze the performance of Subcontractors and make recommendations to the Sr. Field Services Manager.
  • Set up pre-distribution meetings with Subcontractors to discuss projects and confirm deadlines.

Additional information (including specialized qualifications/skills)

  • Minimum of 3 years of related experience required.
  • Bachelor's degree in Engineering, IT, Computer Science, Business Administration, Operations Management, or a similar field, or proven work experience.
  • Previous experience in plastic injection molding or a related manufacturing field with a strong administrative understanding of Warehousing and Logistics functions.
  • Minimum to moderate international travel will be required (must have or be able to obtain a valid passport).
  • Advanced Microsoft Excel skill level.
  • Excellent project management skills to effectively plan, coordinate, and execute projects.
  • A strong commitment to continuous improvement and a willingness to explore new technologies, processes, and best practices.
  • ERP experience (IFS advantageous but not essential).
  • Excellent written and verbal communication abilities.
  • Strong interpersonal skills.
  • Proficient in public speaking.
